By booking or purchasing a virtual tutoring session or tutoring package with Bilingual Kids, the student and/or parent or legal guardian (“Client”) agrees to the following terms and conditions.
Scheduling & Appointments
Virtual tutoring sessions are scheduled by appointment through the Bilingual Kids online scheduling system. Appointment availability varies based on instructor schedules.
Clients are responsible for selecting the correct date, time, and time zone when booking and for ensuring that the contact information provided during booking is accurate.
Cancellations & Rescheduling – More Than 12 Hours Before the Appointment
Clients may cancel or reschedule a tutoring appointment up to 12 hours before the scheduled start time without losing the session.
When applicable, the session credit or tutoring time will be returned to the Client's account or package and may be used to schedule another eligible appointment, subject to package expiration dates and instructor availability.

Cancellations & Rescheduling – Less Than 12 Hours Before the Appointment
Appointments canceled or rescheduled within 12 hours of the scheduled start time are considered late cancellations.
Because instructor time has already been reserved, Bilingual Kids reserves the right to charge the full cost of the appointment or deduct the full scheduled session time from an existing tutoring package or credit balance.
Exceptions may be made at Bilingual Kids' discretion in cases of emergency or other extraordinary circumstances.
Missed Appointments / No-Shows
If a student does not attend a scheduled appointment and has not canceled or rescheduled within the permitted cancellation period, the appointment will be considered a no-show.
No-shows may be charged at the full appointment rate. If the appointment was booked using a tutoring package, prepaid hours, or session credits, the corresponding session time or credit may be deducted from the Client's balance.
No-shows are generally not eligible for refunds or replacement sessions. Unless
Late Arrivals
Students should be prepared to join their virtual session at the scheduled start time. If a student arrives late, the session will generally still end at its originally scheduled time so that subsequent students and instructor schedules are not affected.
Late arrival does not entitle the Client to a refund, credit, extension, or replacement of the missed portion of the session.
Exceptions may be made at Bilingual Kids' discretion in cases of emergency or other extraordinary circumstances.
Instructor Cancellations
If Bilingual Kids or the assigned instructor must cancel an appointment, the Client will not be charged for the canceled session.
Any applicable tutoring credit or package time will be restored, or the Client may be offered the opportunity to reschedule with the same or another available instructor.
Bilingual Kids reserve the right to substitute instructors when necessary due to illness, scheduling conflicts, emergencies, or other circumstances.
Tutoring Packages & Prepaid Hours
Tutoring packages and prepaid hours are subject to any expiration date, usage period, appointment limits, or other restrictions disclosed at the time of purchase.
Clients are responsible for scheduling their sessions sufficiently in advance of any applicable expiration date. Instructor availability is not guaranteed, and unused sessions or hours may expire if they are not scheduled or used within the applicable package period.
Unless otherwise stated in writing, tutoring packages and prepaid credits are intended for the student for whom they were purchased and may not be transferred to another person without prior approval from Bilingual Kids.
Refunds
Completed tutoring sessions, no-shows, and appointments canceled within the 12-hour cancellation period are generally non-refundable.
Refund requests for unused tutoring packages, prepaid hours, or other services will be reviewed according to the refund terms presented at the time of purchase and any applicable law.
Non-refundable payment processing or transaction fees may be deducted from any refund where permitted.
Bilingual Kids may, at its discretion, offer account credit, rescheduling, or another reasonable accommodation instead of a monetary refund.
Refund Processing Time
Approved refunds may take up to 14 business days to process from the date the refund request is approved. The time required for funds to appear in the Client’s account may vary depending on the payment method, financial institution, and payment processor.
Bilingual Kids is not responsible for additional processing delays caused by banks, credit card companies, or third-party payment processors after the refund has been issued.
Technology & Internet Requirements
Because tutoring is provided virtually, Clients are responsible for maintaining a suitable internet connection and compatible computer, tablet, microphone, camera, and other equipment necessary to participate.
Clients should test their equipment and internet connection before the scheduled appointment.
If a student is unable to participate because of a problem with the student's internet connection, device, software, login credentials, or other technology under the Client's control, the session may be treated as a late cancellation or no-show.
If a significant technical problem attributable to Bilingual Kids or the instructor prevents the session from taking place, Bilingual Kids will provide an appropriate rescheduling opportunity or restore the applicable session credit.
Virtual Classroom Conduct
Students are expected to behave respectfully toward instructors and other participants and to participate in a manner appropriate for an educational environment.
Bilingual Kids reserves the right to end a session when a student engages in threatening, abusive, discriminatory, sexually inappropriate, persistently disruptive, or otherwise unsafe or inappropriate conduct.
Depending on the circumstances, a session terminated for student misconduct may be considered used and may not be eligible for a refund or replacement session.
Parent/Guardian Responsibility for Minors
For students under 18, the parent or legal guardian purchasing or scheduling tutoring is responsible for providing accurate student information and ensuring that the student has permission to participate.
Parents and guardians are responsible for determining the appropriate level of supervision for their child during virtual sessions and for providing a safe and appropriate environment from which the student can participate.
Educational Results
Bilingual Kids and its instructors will make reasonable efforts to provide high-quality instruction appropriate to each student's needs and learning goals.
However, individual progress varies, and specific academic results, grades, test scores, language proficiency levels, or other educational outcomes are not guaranteed.
Recording & Privacy
Virtual tutoring sessions may only be recorded when permitted by Bilingual Kids and with any consent required by applicable law. If Bilingual Kids records sessions for quality assurance, training, safety, or educational purposes, applicable notice and consent requirements will be provided separately.
Clients may not record, reproduce, distribute, livestream, publish, or otherwise share tutoring sessions or instructional materials without prior authorization from Bilingual Kids and, where applicable, the consent of other participants.
Scheduling Platform & Communications
Bilingual Kids may use third-party services to facilitate scheduling, video conferencing, payments, reminders, and other aspects of the tutoring service.
Clients are responsible for reviewing booking confirmations and appointment reminders. Failure to receive or review an automated email, text message, calendar notification, or other reminder does not automatically excuse a late cancellation or missed appointment.
Changes to Appointments or Services
Bilingual Kids reserves the right to modify instructor assignments, scheduling availability, virtual meeting platforms, or other administrative aspects of the tutoring service when reasonably necessary.
When a material change affects an already scheduled appointment, Bilingual Kids will make reasonable efforts to notify the Client using the contact information on file.
